Board Roles

CHAIRMAN

The Chairman works with both the director and the parent board to ensure the smooth operation of the program and adherence to the school’s mission and goals. S/he sets up the agenda for and chairs all general preschool meetings. When a matter is urgent, s/he contacts all Board members or calls for an on- line vote. S/he is responsible for drawing up the teachers contracts and conducting an employee review for the Director. S/he is liaison to the teachers and conducts weekly check-ins with the Director and provides support to the Director when needed. When the Director is unable to attend Board Meetings, s/he also communicates the recommendations of the Director to the Board and reports meeting outcomes back to the Director.

VICE- CHAIRMAN

The Vice-Chairman assists the Chairman in her work and presides over general meetings in the Chairman’s absence. S/he chairs the Fundraising committee and oversees all fundraising events. S/he represents the preschool in collaborations with other non-profit organizations and maintains relationships with local businesses and individuals who support the preschool with material or financial donations to our fundraising goals.

TREASURER

The Treasurer draws up the budget each year and updates/advises other Board Members and committees on budget matters. S/he is in contact with the bookkeeper about preschool finances and reports to the board quarterly. S/he also serves as the bookkeeper’s support and supervisor and in addition to regular check-ins, s/he conducts her yearly review. S/he maintains a donor spreadsheet and keeps track of recognition letters being sent out. S/he will submit town grant and local grant applications annually. S/he will also submit and track quarterly reports to the town.

CLERK

The Clerk shall record all minutes and attendance at each meeting. S/he shall take care of various correspondence(i.e thank you notes) including all routine press releases. S/he will address any town permitting issues that arise and prepares ballots. The Clerk also oversees the collection of documents in the classroom and on-line.

CO-OP CHAIR

The co-op chair is responsible for tracking parent co-op hours and writing the snack schedule for the preschool. S/he will work with the Director to organize playground maintenance, classroom cleaning and any parent volunteer needs for the classroom throughout the year. S/he will also assist the Vice-Chairman in getting volunteers for fundraising events.

Attendance at Board Meetings is mandatory.
Board members must attend at least 10 out of 12 meetings, and may not miss more than two meetings in a row.( except in the case of extenuating circumstances) Elections will be held in May selected from parent volunteers
